(1) Vendor needs to provide agenda management solution.- Creation, modification and management of agenda items with multiple attachments- Agenda item approval workflow and customization- Creation, modification and management of meeting agendas- Ability to create new, independent copies of future agendas and attachments to be used in agenda review- Document-level security- Role-based security- Ability to lockout editing for certain roles based on user-configurable dates- Full-text searchability- Workflow routing of documents based on version changes- Agenda and meeting publication- Meeting support capability such as capture of live vote and meeting minutes- Streaming of live and archived video public meetings on the Internet and County's Intranet- Video integration with meeting agenda and timestamping, close captioning on both YouTube and Zoom- Public facing portal that allows searching and viewing of all meeting information that has been published (agendas, video, minutes, documents, and cabinets)- Records management of meeting related information- Microsoft Outlook, Word or other email/form template integration- System will handle loading and accepting a wide variety of file types without errors (please list)- Mobile integration with electronic vote capability- Management of Boards and Commission information- Provide the same customer experience in-person vs virtual- Ability to integrate with multiple meeting software applications (Zoom, Teams, YouTube, etc.)(2) All questions must be submitted no later than August 28, 2023.
