(1) Vendor needs to provide workday consulting services to conduct a benefits health check to include institutional process review along with a workday configuration review in support of those processes to the government authority located in Kansas City, KS.
- Interviews with Benefits and Payroll staff to identify current successes and pain points.
- A detailed walk-through of the state board of regents, and policies and procedures related to benefits administration, including all retirement plans, voluntary insurance, and a review of integrations with the state for benefits.
- A detailed walk-through of policies and procedures related to leave of absence and time off administration, along with work schedules.
- A detailed review of the roles and responsibilities associated with benefits and leave administration, and the overlap with Payroll processes.
- Complete a detailed review of current workday configuration for all benefits plans (retirement, life insurance, voluntary supplemental insurance) as well as contribution limits and other restrictions required by federal, state, or institutional policy.
- Complete a detailed review of current workday configuration related to leave of absence and time off, including accruals and work schedules.
- Complete a detailed review of current Workday configuration related to the tax allocation for employees that live and work in different states, including tax allocation and deductions that are currently split allocated.
- Complete a detailed review of functional areas, integrations, reports, and dashboards that are currently in place in support of Benefits and Leave.
- Implementation of Phase I and II recommendations, including the potential for new reports and dashboards to assist in Benefits administration.
- Detailed documentation of assessments, changes, and any additional future state recommendations to ensure best practice utilization of Workday.
- The team will implement changes under the guidance of the consultant to ensure proper knowledge transfer occurs.
