Government Authority located in Kansas; USA based organization looking for expert vendor for case management system.
[A] Budget: Looking for Proposal
[B] Scope of Service:
(1) Vendor needs to provide case management system.
1. Security.
- The program must meet the highest industry security standards to ensure the security and confidentiality of all information.
2. Case Management and Task Management
- Track correspondence, disciplinary complaints, client protection fund (CPF) claims, investigations, and formal disciplinary cases by various identifiers (respondent’s name, respondent’s bar number, complainant’s name, etc.);
- Track time between identified events;
- Make select information accessible to the public via the Internet; and
- Store contact information for relevant persons, including multiple physical addresses, email addresses, and phone numbers.
3. Document Management
- Maintain all documents related to each piece of correspondence, complaint, claim, investigation, or case in one location;
- Maintain all documents in searchable PDF format; and
- Include customizable templates for letters, pleadings, motions, and other documents.
4. Report Management
- Include customizable reports and charts regarding all aspects of work;
- Include regular statistical reports by the searchable fields;
- Include a public case report - detailing all documents filed in a formal case;
- Include a complete case report - detailing all activity in a case from its inception; and
- Include monthly reports regarding complaints, claims, and cases by status of the complaint, claim, and case.
5. Email Management
- Interact with Outlook to automatically create calendar items for deadlines, due dates, hearings, and arguments; and
- Include customizable email templates automatically generated based on deadlines and calendar events.  6. Data conversion of all existing data from custom databases.
- Disciplinary administrator’s database (DAD)
- Data in custom The Monthly Report (TMR) program is stored in a Microsoft access “.ACCDB” database file.
- Data in the custom mail log program is stored in a Microsoft Access “.ACCDB” database file.
7. Technical Environment.
- The program will run on our local network (on-premises) rather than on the cloud.
- The program will be maintained and updated by the vendor.
- The program will be a client-based system.
- The program will be backed up on the cloud.  8. Interface.
- The program must properly interface with the attorney registration database daily to merge information into the program’s database.  9. User Management.
a. IT Specialist.
- The IT Specialist of our office must have full access to all aspects of the program.
b. Staff.
- The staff must be able to access, add, and delete information in the program. staff should not be able to make any changes to the program - other than to add additional templates or change existing templates.
c. Hearing Panel Members.
- If a case proceeds to a formal hearing, hearing panel members should be able to access public documents through the Internet and the public case report.
(2) All questions must be submitted no later than November 21, 2022.
(3) Contract term will be four years.

- Onshore (USA Organization Only);
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
